Job Context
    SHED invites applications for the position of `Accounts and Admin Officer` for it`s Enhancing Food Security and Nutrition (EFSN) project is supported by UN-WFP. Qualified and experienced candidates are strongly encouraged to apply. The Position will be based on Teknaf Upazila in Cox`s bazar and required to frequent visit to Upazila Office in Ukhiya and Donor Office in Cox`s Bazar.
Job Description / Responsibility
  • This position is mainly responsible for providing overall efficient administrative, financial and operational support to the project office. S/he will also be responsible for establishing and maintaining financial transactions, managing overall administrative functions, procurement, staff travel etc. His/her responsibilities include managing petty cash, ensuring all sorts of cheque/cash payment, banking formalities, organize and coordinate workshop/training/meeting and other general administrative tasks.
  • Maintain systems and controls to ensure the efficiency, integrity and transparency of the field office operations in accordance with SHED guidelines and internationally accepted accounting standards.
  • Ensure all accounting records and supporting documentation for all financial transactions is maintained in a systematic order and in safe and secure conditions.
  • Reporting to SHED senior management or donor focal with a complete, accurate and timely financial statement, Grant disbursement and regualr logistic and stock reports including in the required formats.
  • Facilitating to provide quarterly and where required monthly financial reports to the donor Finance department.
  • Assist and support the project Coordinator in the preparation of budgets for project proposal and annual field office budgets.
  • Manage and undertake the responsibilities for a successful internal audits of the project.
  • To work as part of a team and liaise with the Project Coordinator, Upazila team offices and SHED Finance department.
  • Develops, oversees and supervises department administrative operations including administrative support staff, files and records, paperwork processing, purchasing and supplies, contracts and others;likely to handle facilities and logistics issues.
  • Regular maintaining of staff leave register, vehicle logs, supervision of support staffs.
  • Ensure the timely logistic and stationary supplies to Upazila and Union Office.
  • Ensure logistic support to Upazila and district level meeting, workshop, Training and seminars.
  • Facilitate to complete all kinds of staff recruitment, project input procurement and maintenance.
  • Ensure the proper banking support during Cash grant and Allowance distribution at field level.
  • Maintain of a strong linkage with bank and private institutions.

Educational Requirements
    Masters in Commerce or MBA with 3-4 years NGO working experience in the area of accounting will be preferred.
